We are looking to hire a reliable, enthusiastic, and hardworking individual to fill the role of our Assistant Office Manager.
Role and Responsibilities:
- Supervise daily operations, ensure effective coverage for all functions. Manage all opening and closing tasks, including reconciling billing daily. Act as a primary point of contact for the practice. Ensure all policies are adequately in place and followed, and implement new ones as needed.
- Manage all inventory, office supplies ordered efficiently, as well as, inventory of frames in optical is always adequate. Coordinating with B2B accounts and maintaining a good relationship with them.
- Human resource functions, such as hiring, onboarding, training & development, coaching, maintaining accurate and well-documented employee records, and ensuring health and safety practices are implemented and followed.
- Manage all team schedules, coordinate with doctors' schedules, payroll, time off requests, and employee attendance.
- Reconciliation of billing: Ensure daily billing of patients is accurately completed, reconcile insurance and OHIP billing daily, end of week, and end of month. Address any mistakes efficiently to make sure all billing is in order.
- Manage office social media accounts, keeping them up to date, accurate and engaging.
- Schedule and coordinate regular team meetings, to ensure policies and practices are being implemented and followed, addressing performance concerns, sales goals and other practices that would boost the success of the office.
- Deep understanding of the needs and nuances of a small business and the skills needed to manage the practice.
- Strong emotional intelligence and problem-solving abilities to lead, resolve conflicts and issues. Ensure patient experience and the success of the practice are priority.
- Complete annual performance reviews for all team members and regular check-ins, making sure all employees are contributing to the success of the team and thus the practice.

Our ideal candidate has prior experience working at an optometry office/optical and has experience leading/supervising/managing a team.
This is a full-time in-person role.
Qualifications:
- A bachelors degree
- Experience managing/leading a team of 5 or more team members (2+ years preferred)
- Experience working in a optometrist office/optical (2+ years preferred)
- Customer Service Experience (3+ years)
Pay: $23.00-$25.00 per hour
