Key Requirements
- Fluent English is required
You must be comfortable speaking clearly and confidently with clients in person, on the phone, and by email.
- Strong front desk and customer service ability
You should be able to greet clients warmly, handle check-in and check-out smoothly, and create a professional, welcoming experience.
- Confident with booking systems, insurance billing, and admin work
This role requires daily use of scheduling software, email, Excel, Word, and direct billing platforms such as TELUS, Sun Life, Provider Connect, etc.
You need to be comfortable handling insurance claims in real time while clients are at the front desk.
- Fast, organized, and good under pressure
This is a busy clinic environment. You must be able to multitask, stay calm, and work accurately without getting overwhelmed.
This is not just a desk job. You will also help with folding sheets, preparing massage linens, and keeping the front desk and clinic area clean and organized.
We are looking for someone who is quick, practical, and willing to help wherever needed.
Punctuality, responsibility, and attention to detail are very important in this role.

Main Responsibilities
- Welcome and assist clients in a friendly and professional manner
- Answer phone calls and book appointments accurately
- Handle check-in, check-out, and front desk flow efficiently
- Process direct billing and verify insurance information on the spot
- Use booking software, email, Excel, and Word confidently in daily work
- Maintain accurate client records and scheduling
- Recommend and follow up on memberships
- Send reminders, reply to emails, make follow-up calls, and help fill bookings
- Fold sheets, prepare linens, and support general clinic organization
