The Opportunity
Horse Gear Canada and Sensation Ride are seeking a highly organized Administrative Operations Coordinator to become the central point of coordination for our day-to-day business operations.
This is not a traditional customer service position.
While customer communication is part of the role, the primary responsibility is managing information, tracking moving pieces, maintaining accurate records, and ensuring critical tasks do not fall through the cracks.
You will work directly with the business owner to coordinate custom saddle orders, inventory, purchase orders, backorders, supplier communications, customer requests, and administrative workflows.
Success in this role requires exceptional organization, strong software skills, attention to detail, and the ability to create order in a fast-moving environment.
What You'll Be Doing
- Coordinating and tracking customer orders from start to finish
- Monitoring backorders and supplier timelines
- Creating and maintaining purchase orders
- Managing and organizing shared email inboxes
- Tracking outstanding tasks and ensuring follow-up occurs
- Maintaining accurate records and documentation
- Processing and updating information within Shopify
- Supporting inventory and product management activities
- Preparing documents, spreadsheets, and reports
- Assisting with operational projects and process improvements
- Communicating professionally with customers, suppliers, and dealers
Software & Technical Requirements
Applicants must be comfortable working in multiple software platforms and learning new systems quickly.
Experience with the following is strongly preferred:
- Microsoft Excel
- Microsoft Word
- Shopify
- ChatGPT and AI-assisted productivity tools
- Canva, Photoshop, or similar graphic editing software
- Shared inbox and email management systems
This position requires more than basic computer literacy. Strong technical aptitude is essential.
