True Plastic Surgery is a physician-owned plastic surgery practice dedicated to providing exceptional patient care throughout the surgical journey. We are seeking a dedicated, organized, and professional Patient Care Coordinator to join our team. This vital role ensures seamless clinic operations and an exceptional patient experience by managing patient communications, coordinating appointments, curating leads, and maintaining accurate electronic medical records.
The ideal candidate brings a blend of clinical administrative expertise, compassionate communication skills, and a strong foundational knowledge of medical terminology to contribute directly to high-quality patient care.
Responsibilities
· Patient Reception: Greet patients and execute check-in/check-out procedures efficiently to maintain a smooth daily clinic flow.
· Appointment Management: Schedule, confirm, and coordinate consultations, procedures, and follow-up appointments using the electronic medical record (EMR) system.
· Data Verification: Collect, update, and audit patient intake forms to ensure accuracy and data integrity prior to appointments.
· Patient Communication: Act as a primary point of contact, clearly explaining appointment logistics, scheduling directives, and follow-up instructions.
· Privacy Compliance: Maintain strict patient confidentiality and secure sensitive records in accordance with the Personal Health Information Protection Act (PHIPA).
· Office Administration: Professionally manage incoming multi-line calls, digital correspondence, and billing processes.
· Clinical Support: Prepare patient charts and documentation for consultations and procedures, coordinate patient information, and support physicians and nursing staff throughout the patient journey.
· Provide administrative support throughout the clinic and assist with additional duties as required to support daily operations.
Skills & Qualifications
· Prior administrative experience operating within a medical clinic, dental practice, or surgical environment is highly preferred.
· Hands-on experience navigating Electronic Medical Records (EMR) or electronic health and customer relationship management (CRM) platforms for scheduling, tracking and documentation.
· Solid comprehension of foundational medical terminology to ensure clear, precise communication with clinical staff and patients.
· Outstanding verbal and written interpersonal skills with an ability to deliver clear, empathetic patient service.
· Exceptional organizational capabilities with a proven track record of managing competing priorities in a fast-paced environment.
· Current knowledge of PHIPA and privacy requirements.
· Demonstrated ability to provide exceptional customer service in a professional healthcare environment.
· Ability to work collaboratively within a multidisciplinary team and adapt to changing operational priorities.
