About the Role
We're looking for a friendly, organized, and proactive Administrative Assistant / Receptionist to join our growing team. This full-time, in-office position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in delivering exceptional customer service while keeping daily operations running smoothly.
As the first point of contact for clients and visitors, you'll play an important role in creating a welcoming and professional experience while providing administrative support across multiple departments.
Key Responsibilities
Reception & Client Experience
- Welcome clients and visitors in a professional and friendly manner
- Answer, screen, and direct incoming phone calls and emails
- Manage the reception area and maintain a clean, organized workspace
- Prepare meeting rooms for appointments and greet guests upon arrival
Administrative Support
- Provide day-to-day administrative support to management and staff
- Perform data entry, filing, document preparation, and record management
- Assist with scheduling meetings and coordinating calendars
- Maintain office supplies and inventory
- Coordinate courier services, incoming mail, and bank deposits
- Support accounting and finance with administrative tasks as needed
Office Operations
- Maintain reception, boardrooms, kitchen, and common areas
- Coordinate office maintenance requests and vendor appointments
- Assist with special projects and general office administration
Qualifications
- Previous administrative or office support experience
- Reception or customer service experience preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- High level of accuracy and attention to detail
- Professional, dependable, and positive attitude
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- QuickBooks experience is an asset, but not required
- Ability to work independently while contributing to a collaborative team
