Reporting directly to the CEO / Chief Librarian, this role is responsible for providing administrative support to the CEO/Chief Librarian and the Caledon Public Library’s Management Team. This position provides a variety of administrative support services to enhance the Library’s organizational effectiveness including record-keeping, recording and managing meeting minutes, document preparation and cash handling. As the Administrative Assistant, you will perform the following duties, including but not limited to:
Plan and prepare for Board meetings
Record and manage agendas and minutes of Board meetings
Process accounts payable and accounts receivable; assist in preparing salary forecasts, financial and budget reports
Manage cash deposits, garbage tag revenue, petty cash and cash management procedures in compliance with Library and Town procedures
Book conferences, seminars and training with management approval for Library staff
COVID-19: In consideration of the current pandemic and Public Health orders, the successful candidate for Administrative Assistant will be required to work a flexible schedule, including in the office, remotely and after hours (as required).
The Ideal Candidate
We are seeking a self-motivated professional with a post-secondary diploma in Business Administration, or equivalent combination of education and experience. Our ideal candidate has a minimum of 3 years related experience in an administrative capacity. Previous experience in a public library or municipal setting is an asset.
The ideal candidate will have a demonstrated proficiency in office productivity and budgeting software. We are seeking an individual with superior organizational and communication skills, a demonstrated ability to work both independently and as part of a team, as well as well-established analytical and financial literacy skills.
This position offers a starting pay rate of $28.88 per hour, based on a 35-hour work week.
Satisfactory passing of a vulnerable sector check, and proof of qualifications will be required of any successful candidate(s) for this position.
