The Forest Group is seeking a motivated and detail-oriented Project Coordinator Intern to support our Contract Administration, Project Coordination, and Operations teams. This position provides hands-on exposure to construction project management and administration while supporting the day-to-day coordination, documentation, costing, and tracking required to successfully deliver projects.
This is an excellent opportunity for a student or recent graduate looking to gain practical experience in the heavy civil construction industry.

Assist Contract Administrators and Project Coordinators with the day-to-day administration and coordination of active construction projects.

Assist with the preparation, organization, and distribution of project start-up documentation.

Set up and maintain project files, ensuring documentation is complete, accurate, and properly organized.

Prepare and maintain project tracking logs, spreadsheets, schedules, and other internal project controls.

Collect and organize daily field documentation, including foreman reports, trucking information, material tickets, timesheets, and supporting records.

Assist with tracking project costs, quantities, purchase orders, subcontractor costs, and other project-related expenditures.

Review field documentation against project estimates, quantities, and job costing information and assist with preparing costing reports for management.

Obtain and maintain Ontario One Call locates, locate log sheets, and related documentation, including monitoring expiry dates.

Assist with material ordering, delivery coordination, and communication with suppliers and subcontractors.

Assist with preparing purchase orders, subcontractor documentation, change orders, and other project documentation.

Support progress billings and client invoicing by compiling quantities, tickets, and required supporting documentation.

Track project schedules, milestones, deficiencies, outstanding items, change orders, and deadlines.

Assist with preparing documentation for project meetings and tracking follow-up action items.

Communicate with field personnel, Contract Administrators, Accounting, suppliers, subcontractors, and other departments to obtain required project information.

Assist with project closeout requirements and the preparation of closeout packages, including records, reports, warranties, and supporting documentation.

Maintain accurate project information within the Company's project management, costing, and administrative systems.

Participate in project meetings, site visits, and other learning opportunities as required.

Perform general administrative duties and other related tasks or special projects as assigned.

Currently enrolled in or recently graduated from a Civil Engineering, Construction Management, Engineering Technology, Business Administration, or related post-secondary program.

Strong organizational skills with excellent attention to detail.

Strong computer skills, including proficiency with Microsoft Excel, Word, Outlook, and other Microsoft Office applications.

Ability to manage multiple tasks, priorities, and deadlines in a fast-paced construction environment.

Strong written and verbal communication skills.

Comfortable working with numbers, spreadsheets, quantities, and project costing information.

Ability to work collaboratively with office and field personnel.

Strong willingness to learn and develop an understanding of construction project administration and operations.

Previous construction, project coordination, or administrative experience is considered an asset but is not required.

Valid Ontario driver's licence and access to a vehicle are considered assets for occasional site visits.
