Position Overview
The Water Damage Scheduler is responsible for coordinating and dispatching crews for emergency and non-emergency restoration jobs. This role requires strong organizational skills, the ability to multitask in a fast-paced environment, and clear communication with technicians, project managers, and clients to ensure efficient job execution.
Key Responsibilities
Scheduling & Dispatching
- Coordinate and schedule water damage technicians for daily jobs (25+ staff)
- Dispatch crews promptly to meet response time targets
- Adjust schedules in real time due to emergencies, staff availability, or priority changes
- Reassign crews and prioritize large-loss jobs as needed
- Assign staff based on skillset and job requirements
- Create and maintain project schedules for both small and large losses
Communication
- Communicate schedules, updates, and changes to technicians, project managers, and management
- Act as the primary point of contact for homeowners, building managers, and clients
- Confirm appointments and provide clear expectations on arrival times and next steps
- Respond to emails and phone inquiries in a timely and professional manner
- Participate in team meetings and provide feedback or updates
Job Coordination & Tracking
- Track all jobs and updates daily using spreadsheets and internal systems
- Maintain accurate data entry and documentation, including uploading job-related files
- Provide work orders and job specifications to technicians
- Monitor technician updates and schedule follow-up visits as required
- Ensure daily updates, including photos and job progress, are received and recorded
Operational Support
- Work closely with the Water Damage Manager/Assistant Manager to ensure crews have necessary tools and materials
- Verify job details, site access, and required resources before dispatch
- Provide project managers with schedules and estimated timelines for job completion
- Ensure safe work practices are followed on all jobs
Customer Service & Problem Solving
- Answer client questions regarding equipment, demolition, timelines, and emergency processes
- Handle high-pressure situations professionally, especially during large losses or after-hours emergencies
- Manage sensitive information, including customer keys and private data, responsibly
Qualifications & Skills
- Previous experience in scheduling, dispatching, or customer service (restoration/construction industry preferred)
- Knowledge of water damage restoration processes is an asset
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Ability to work in a fast-paced, high-demand environment with frequent interruptions
- Strong problem-solving skills and attention to detail
- Ability to remain calm and professional under pressure
- High level of accuracy and strong work ethic
- Ability to work independently and as part of a team
- Adaptable and flexible with changing priorities
