Overview

Responsibilities

Performs various Mail Room functions (sorting, folding, inserting, delivery, pick-up of mail).
Operates postage machine to apply appropriate postage to all outgoing mail according to Canada Post guidelines and ensures postage machine has sufficient postage.
Operates folder/inserter machine to process large volume mailings.
Prepares Electronic Statement of Mailing (E-SOM) via Canada Post Electronic Shipping Tools (EST) for large volume mailings in accordance with rates set by Canada Post.
Receives and sorts all incoming mail from Canada Post and contracted mail delivery service, and delivers to City divisions located within City Hall.
Collects, sorts and prepares all outgoing mail to be delivered by Canada Post as well as courier packages to be delivered by contracted mail delivery service.
Tracks and records statistics regarding large volume mailings.
Places service calls for postage and folder/inserter machine as necessary.
Ensures mailing resources are in good supply.
Displays/removes posters in elevator bulletin boards.
Requirements

Must have minimum Grade 12 diploma.
Must have minimum of 6 months of related experience including an on-the-job period of adjustment.
Must have experience performing Mail Room functions including sorting, folding, inserting, delivery, pick-up of mail and operating postage equipment.
Must have knowledge or experience operating a mail folding/inserting machine or similar equipment
Must have experience troubleshooting and resolving simple machine failures (e.g. paper jams).
Must have demonstrated organizational skills and the ability to effectively multi-task.
Must have demonstrated ability to use personal computer including Microsoft Office, Excel, Word and Outlook.
Must have the ability to work independently with minimal supervision.
Must be able to consistently meet mailing deadlines with a high level of accuracy.
Must have the ability to regularly lift and carry mail bins, print jobs, and envelopes weighing approximately 10-20 lbs each (several times per day); occasionally lifts up to 50 lbs to deliver paper stock orders and larger print orders (approximately ten per week).
Work involves frequent walking, standing and reaching in order to sort and deliver mail; pushing and pulling mail cart through hallways and on/off elevators (9 kg force required).
Experience preparing Electronic Statement of Mailing (E-SOM) via Canada Post Electronic Shipping Tools (EST) or similar software would be considered an asset.
