Job Overview
The Procurement Operations Specialist is responsible for ensuring the smooth execution of the procurement process after purchase orders have been issued.
Working closely with Buyers, Product Management, Finance, Warehouse Operations, Customer Service, freight providers, customs brokers, and suppliers, this position coordinates the movement of inventory from supplier to warehouse while ensuring supplier transactions are completed accurately and efficiently.
This role combines procurement administration, supplier relations, logistics coordination, accounts payable support, and warranty administration into one dynamic position.
Duties
Purchase Order Management
- Monitor and follow up on open purchase orders.
- Communicate regularly with suppliers regarding production and shipment status.
- Maintain accurate Estimated Time of Arrival (ETA) information.
- Track overdue purchase orders and proactively resolve delays.
- Keep internal teams informed of shipment status and expected arrivals.
Logistics Coordination
- Coordinate inbound shipments with freight forwarders and carriers.
- Monitor shipment tracking and transportation progress.
- Coordinate customs brokerage documentation.
- Manage shipping documentation and freight records.
- Support ocean, air, courier, and LTL shipments.
- Ensure timely delivery of inbound inventory.
Accounts Payable Support
- Investigate purchase order and supplier invoice discrepancies.
- Resolve pricing and quantity variances.
- Process supplier credits and credit memos.
- Reconcile supplier statements.
- Respond to supplier payment inquiries.
- Work closely with Finance to ensure invoices are processed accurately.
Warranty & Supplier Claims
- Process supplier warranty claims.
- Coordinate return authorizations.
- Manage supplier credits related to defective products.
- Track claims through completion.
- Maintain warranty documentation.
- Identify recurring product quality concerns and escalate when appropriate.
Pricing & Procurement Administration
- Maintain supplier cost updates within the ERP system.
- Process approved pricing changes.
- Maintain supplier records and documentation.
- Support landed cost accuracy.
- Assist with procurement reporting and administrative projects.
- Communicate regularly with suppliers regarding production and shipment status.

Experience
Required
- 3+ years of experience in Procurement, Purchasing, Supply Chain, Accounts Payable, Logistics, or a related field.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Strong attention to detail.
- Ability to manage multiple priorities simultaneously.
- Strong analytical and problem-solving skills.
- Proficiency with Microsoft Office, particularly Excel.
- Experience working with ERP systems.

- Experience in wholesale distribution or manufacturing.
- Knowledge of international shipping and logistics.
- Experience with customs brokerage processes.
- Understanding of inventory management principles.
