Preparing for clinical transformation through the implementation of a new health information system (HIS) in June 2022 requires a dedicated team that brings together clinical, Digital, and other functional expertise. We are excited to start building the team that will focus on end user support during the go-live period.

Brief Description

UHN is embarking on a clinical transformation spearheaded by the implementation of a new HIS (Epic) in June 2022. The project, called Synapse, will require support across a number of work streams. Super User candidates will report into the Senior Manager, Education and will provide hands-on support to approximately 17,000 users of the HIS during Go-Live. They will work closely with the Education Team, Credentialed Trainers, Super Users, HIS Project Managers and other Managers and Team Leads, and will be trained before Go-Live to support end users, especially in clinical areas, at various UHN sites.

Responsibilities Before Go-Live:
Complete the Epic Super User Training to gain a detailed understanding of Epic and benefits
Reinforce training for staff in their departments, including completion of department-specific competencies
Serve as a project advocate to generate enthusiasm and excitement
Participate in readiness activities

Responsibilities During Go-Live:
Provide at-the-elbow support for users in their departments
Remain approachable and available to staff in assigned support areas
Prioritize patient care and safety

Additional Responsibilities:
Attend education and training sessions on the HIS and meet required competency level using the system;
Partner with the HIS Education & Training team and Command Centre staff to plan and coordinate training and Go-Live activities;
Participate in readiness events;
Attend meetings with clinical and administrative stakeholders;
Attend project team meetings on a regular basis and create minutes and agenda items;
Coordinate follow-ups with education and cross-functional teams;
Provide hands-on support to UHN staff, physicians, learners and researchers (end users) during Go-Live;
Assist end users in workflow adoption. Provide one-on-one guidance, application and workflow support, and troubleshooting with end users;
Identify and resolve issues and escalate when required, aligned with standard processes;
Communicate information and changes to end users;
Support documentation and administrative activities.

Qualifications/Competencies Required:
Clinical experience and/or education required (nursing preferred)
Professionalism, ability to work with diverse group of healthcare stakeholders (Medical staff, Physicians, Project managers, etc.)
Excellent attendance and highly reliable
Enrollment in a health informatics or similar program;
Excellent customer service, people and organizational skills;
Strong interpersonal and client relationship skills, with the ability to communicate effectively with both clinical and technical teams;
Ability to work under pressure, solve problems and adapt to change;
Demonstrated ability to work independently and also as a contributing team member;
Must be able to learn quickly, understand and apply new technologies;
High level of flexibility to work days, weekends, evenings, and night shifts and adapt to changing work and schedules (12 hour shifts / available 7 days a week);
Excellent attendance record;
Proficiency with Microsoft Office (e.g. Excel, PowerPoint, Visio);
Experience working in healthcare, education, or customer service is an asset;
Experience training adult learners is an asset.

Time Commitment:
ORIENTATION

1-2 hours

SUPER USER TRAINING

In addition to regular Epic training related to operational role

Minimum of 2 trainings with peers over the span of a few weeks(6-10 hours)
1 hr/week in playground environment
2-4 hours refresher training in the week before go-live

Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
