MINIMUM FORMAL EDUCATION/TRAINING:
- Degree or diploma in Information Management, Records Management, Library and Information Studies, Archives Management, Information Governance, Business Administration, or a related discipline is required.
- Preference will be given to candidates with additional education or experience in a related field, such as risk and compliance, access and privacy, change management, and information studies.
- An acceptable equivalent combination of education and experience will be considered.
EXPERIENCE:
- A minimum of five years’ experience working within an office environment is required.
- Experience in dealing effectively and diplomatically with senior members of an organization and the public, and ability to foster harmonious working relationships with other staff, both academic and support, is required.
- Strong written and oral communication skills required.
- Strong research and analytical skills required.
- Familiarity with risk management and compliance auditing is required.
- Experience applying records retention schedules, disposition requirements, and information lifecycle management practices is required.
- Experience working with large volumes of unstructured information, shared drives, enterprise content repositories, or cloud-based collaboration platforms is required.
- Experience participating in records cleanup, digitization, information governance, or data quality initiatives is required.
- Preference will be given to candidates with previous experience in access and privacy or risk management roles.
- Experience working within a post-secondary, public sector, healthcare, or regulated environment is considered an asset.
- Knowledge of Microsoft 365 governance, SharePoint Online, OneDrive, and emerging information management technologies is considered an asset.
- Familiarity with automation and analytics tools used to identify records, duplicate content, and obsolete information across enterprise repositories is considered an asset.

- Strong stakeholder engagement and facilitation skills, including the ability to work collaboratively with technical and non-technical audiences, is required.

OTHER JOB RELATED QUALIFICATIONS:
- Experience or interest in working with a University or other educational institution.
- Familiarity with The University of Manitoba.
Project activities
- Responsible for supporting all business areas in implementing Shiny Docs Reviews and LaserFiche migration and analysis.
- Project support and ensuring that project timelines are met.
- Analysis and review of records and information assets.
- Development of organizational filing structures for offices.
- Design and implementation of metadata standards and document indexing and tagging.
- Analysis and application of the appropriate retention rules to content prior to migration or destruction.
- Work in partnership with the Records and Access Analysts and the Records and Information Officer to ensure that records retention rules are in place and implemented in electronic systems, ensuring that information is not over-retained.
- Research and analysis to identify and extract core data required to support programs and activities of units and the University.
- Support and guidance to staff in offices implementing the software.
Maintenance activities:
- Assist in the research and drafting of records retention rules for information assets across repositories and platforms.
- Research and analysis of the implications of Artificial Intelligence on Records and information management.
- Development and communication of guidance and educational tools to support LaserFiche, Shiny Docs and other RIM projects.
- Other duties as assigned.
