Hey there! Here at My Student Wellbeing we're all about supporting the post-secondary student population by making it super quick and easy for students to access mental health counselling through the therapists in our network.

Our organization is growing and we're looking to bring on A Caring Admin Assistant (you?!). We have incredible, skilled therapists doing the clinical work, but as we grow we're figuring out our backend operations. Position Overview: We're looking for an Admin Assistant to take care of tasks we know currently need to be done on a daily basis and for tasks that will come up as we continue to grow.
This is a full time, work from home position with flexible hours and structured as a 6 month term (with possibility of extension). You'll be able to put work on pause to go attend an appointment, run an errand, or whatever else, as long as you put in your time at some point that day. Due to the sensitive nature of the information you'd be working with though, you will need to work from a secure place (like a home office) where there is no chance someone can accidentally see the information you're working with (so no working at coffee shops or beaches, sorry!).
You'll be provided with company issued hardware and software to complete all responsibilities of the job.
We don't want to waste anyone's time by hiding what we're able to afford for this role at this time. Our pay range is between $18-$23/hr depending on qualifications and experience. You're encouraged to outline in a cover letter where you believe you would fall in that range if you're interested in the position.
There's the potential of moving you to other areas if you want as we grow and the possibility you could take on more responsibility if it interests you (but not required).

Responsibilities:
- Check insurance for potential new clients and existing clients
- Update client information in the system
- Update system information as needed
- Answer phone calls and respond as required
- Schedule appointments as needed
- Ensure appointments are properly marked in the system
- Maintain client records and ensure confidentiality
- Ensure client paperwork is sent out, completed, and uploaded
- Assist with billing, invoicing, and other financial tasks
- Support the therapists and My Student Wellbeing team with various administrative duties
- Post already created content on our social media channels
- Perform other office-related tasks as needed
- You may be offered to work on other tasks like social media content creation, website development, or other tasks if you want to learn something new (we'd train you if you're new to it) or if you have other skills you'd be interested in utilizing, however, that won't be required. But if you feel like taking on something else sometimes and it works for us, we'd be happy to see if we can make it work!
Qualifications:
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Proficiency in office software (e.g., Microsoft Office, Google Suite)
- Ability to maintain confidentiality and handle sensitive information (this is super important)
- Prior experience in an administrative role is a plus
- A background in social work, social services, or a related field is considered an asset
- Training in ASIST is considered an asset but not required prior to employment
- Training or familiarity in PHIA or other privacy legislation is considered an asset (if you don't have it we'll get you trained in it before you handle any sensitive information)
- Willingness to undergo training on how to handle a crisis situation if it ever came up
