Job Title: Office Manager and Community Officer

Salary $40,000 - $45,000pa (depending on experience)

Overview:
The Role:
Rapidly growing, Al Mustafa Canada is seeking a highly motivated and skilled Office Manager and Community Officer to manage our Canada office and join our global dynamic team. As the Office Manager, you will be responsible for overseeing the daily operations of our office while also actively participating in community engagement activities and assisting with event coordination. This role requires excellent organizational skills, strong IT proficiency, exceptional communication abilities, and a proactive attitude. The successful candidate will play a crucial role in supporting our mission and fostering positive relationships within the local Muslim community & our growing donor base and will closely work with the UK team.

Responsibilities:
Office Management:
- Maintain efficient office operations, including purchasing/managing supplies, equipment, and facilities.
- Organize and maintain accurate records, files, and databases.
- Handle incoming and outgoing correspondence, emails, and phone calls.
- Coordinate appointments, meetings, and travel arrangements for staff members.
- Ensure adherence to company policies and procedures.
- Taking responsibility for all aspects of Health and Safety and Fire Prevention
- Professional handling of basic Bookkeeping duties (receipts, invoices).
- Petting cash-Managing and reconciling payments and cash.
- Managing utilities (telephone, broadband, gas, electricity, mobile phone contracts, parking permits).
- Managing housekeeping supplies (cleaning materials, towels etc).
- Managing maintenance contractors, cleaners and water coolers.
- Managing the relationship with the IT Support Provider to ensure optimum IT functionality across the organisation
- Liaising with the insurance provider to ensure all details are correct and up to date
- Administration of employee and freelancer personnel files.
- Administration and support for employee and freelancer lifecycle.
- Any other task assigned by management
- Close coordination with UK based team
Donor Management/IT:
- Donation processing and data entries into donation management systems
- Manage donor complaints and issue tickets to relevant colleagues accordingly
- Deposit all donation cheques into the bank after posting data on the donation management system
- Make outbound calls if required.
- Demonstrate proficiency in relevant software applications and systems (training provided!)
Community Engagement:
- Foster strong relationships with the local Muslim community through active engagement and participation.
- Reaching out & trying to engage new partners/supporters like Mosques, Islamic Schools, Muslim Organisations, Student Networks etc.
- Represent Al Mustafa US at community events, meetings, and gatherings.
- Organize and lead community outreach initiatives, including educational workshops and fundraising campaigns.
- Collaborate with community leaders and organizations to strengthen partnerships and develop collaborative projects.
- Serve as a point of contact for community members, addressing inquiries, concerns, and suggestions.
Occasional Event Coordination:
- Collaborate with the event planning team to organize and execute various events.
- Assist with logistical arrangements, including venue selection, vendor coordination, and budget management.
- Manage event calendars, invitations, registrations, and attendee lists.
- Coordinate event marketing and promotional activities, including social media engagement.
- Provide on-site support during events, ensuring smooth operations and attendee satisfaction.

Person Specifications:
Self-starter with a proactive approach, capable of taking initiative and working independently.
Extroverted personality and a go-getter attitude, with a passion for community involvement.
Proven experience in office management, event coordination, and community engagement.
Excellent organizational and multitasking skills, with a strong attention to detail.
Proficiency in IT systems and software applications, with the ability to quickly learn new technologies.
Outstanding communication skills, both written and verbal, with the ability to engage diverse audiences.
Flexibility and willingness to work evenings and weekends, as required for events and community engagement.
Knowledge of Muslim culture, practices, and values is highly desirable.
Understanding of nonprofit organizations and fundraising processes is a plus.
Interest in working in the Islamic Charity Sector
Urdu language skill would be a bonus
Existing connections to the local Muslim Community is a huge advantage.
