About the Role
We are seeking a detail-oriented Financial Administrator / Bookkeeper to join our team on a part-time basis. This is an in-office position (no remote work option) requiring 16–20 hours per week across 4 days. The successful candidate will manage a broad range of financial and administrative functions, including banking, patient financial administration, accounts payable and receivable, payroll, tax compliance, and financial reporting.
What You'll Do
- Manage day-to-day banking, including RBC business account administration, balance monitoring, transfers, EFTs, deposits, manual cheque preparation, reconciliations, and correspondence.
- Administer patient financial accounts — PAD file submission, collections, NSF and returned payment follow-up, declined credit card retries, refunds, and balance monitoring.
- Process accounts payable, including supplier, lab, lease, subscription, utility, rent, insurance, and vendor payments.
- Manage accounts receivable, including statements, aging and collection reports, and payment/insurance reconciliation.
- Run monthly payroll through Wagepoint, including adjustments, vacation and statutory pay, deductions, CRA remittances, ROEs, and T4 preparation.
- Handle tax and compliance obligations, including HST/GST and corporate tax remittances, CRA correspondence, deadline tracking, year-end documentation, and liaison with the external accountant.
- Prepare financial reports, including monthly statements, cash flow monitoring, transaction audits, and Merchant Direct / Provider Connect reconciliations.
- Track professional licence renewals, memberships, and required documentation.
What You Bring
- Diploma or certificate in Accounting, Bookkeeping, Finance, or a related field.
- Minimum 8-10 years' experience in a similar role.
- Dental, orthodontic, or private clinic experience preferred.
- Proficiency a variety of software required; experience with Mac is an asset.
- Exceptional attention to detail and organizational abilities.
- Ability to maintain confidentiality and manage sensitive financial information.
- Strong communication and client service skills.
