THE FINANCE DEPARTMENT
UHN Finance is integral to realizing UHN’s vision of A Healthier World in enabling Canada’s top academic health sciences centre to deliver on its triple promise of excellence in care, discovery, and learning while being fiscally responsible. The Finance team is comprised of approximately 250 staff, spanning across corporate, clinical, and research portfolios.
JOB SUMMARY
As an integral member of the Finance Team, the Administrative Coordinator will be a direct support to Corporate Finance leadership, primarily to the Deputy Chief Financial Officer (DCFO), act as a backup support to the CFO, and assist other Finance directors where necessary. The successful candidate will utilize critical thinking, communication, and organization skills in a wide range of activities, such as:
Preparing a variety of deliverables (e.g. correspondence, presentations, reports) using Microsoft Office and Adobe applications, and disseminates relevant information to Finance management and staff as requested
Coordination of standing meetings and special events:
Preparation of meeting materials (e.g. agenda, presentation slides, minutes) and conducts critical review for grammatical errors and consistent formatting
Coordinates/collaborates with other contributors to collect deliverables in a timely manner
Manages guests and facilitates meeting logistics, primarily via Microsoft Teams
Collection, assessment, and presentation of data via Excel or PowerPoint, for downstream financial analysis or business decision-making
Supporting various operational and strategic projects, as required
Oversight of administrative functions for the DCFO:
Management of scheduling, calendars, and inboxes
Regular and timely payment processing of invoices as assigned
Tracking of payroll, vacation and absences
PROFILE
This role is ideal for a professional who is detail-oriented, able to plan independently, and possesses strong written and verbal communication skills. The successful candidate will have a unique opportunity to work with senior Finance leaders in a dynamic environment, and will gain a broad understanding of business and governance processes. This position is also suitable for an individual with keen situational awareness, who is able to make connections between concepts and the surroundings to deliver informed outputs.
QUALIFICATIONS
Completion of a Grade 12 or recognized equivalent required
Completion of a recognized postsecondary office administration diploma program, or recognized equivalent required
Five (5) years related office administration support experience required
High degree of proficiency and on-the-job experience with computer applications in a Microsoft Office environment (i.e. Outlook, Excel, Word, PowerPoint) required
Proficiency with computer/technological applications
Excellent oral and written communication skills
Experience in a healthcare environment preferred
