Job Summary
We are seeking a versatile and professional Medical Office Assistant to join our team. This role supports a multi-faceted practice, including family physicians and walk-in doctors, while also contributing to the growth of our Med Spa services. The ideal candidate is a proactive communicator who can seamlessly transition between clinical administration and aesthetic marketing tasks.
Responsibilities
- Greet and assist patients at the front desk with professionalism and courtesy.
- Clinical Support (Family Practice & Walk-In): Coordinate patient flow for both scheduled family medicine appointments and high-volume walk-in patients. Assist physicians with intake, room turnover, and ensuring all required lab results or specialist reports are available in the EMR.
- EMR & Records Management: Manage patient files with high accuracy in the EMR system. Ensure distinct record-keeping for family practice, walk-in, and Med Spa clients.
- Med Spa Marketing & Growth: Help execute marketing initiatives for the Med Spa, which may include managing social media posts, updating promotional materials, and educating patients on available aesthetic services (e.g., injectables, skincare).
- Front Desk Operations: Answer phones, triage urgent walk-in needs, and manage the complexity of multiple provider schedules.
- Billing & Financials: Process OHIP/private insurance billing for medical visits and manage point-of-sale transactions for Med Spa services and retail products.
- General Support: Perform additional administrative or clinical duties as directed by management to ensure the overall success of the clinic.
Qualifications
- Experience: Minimum of 2 years of experience in a medical office or multi-disciplinary clinic.
- Technical Skills: Proficiency with Electronic Medical Record (EMR) systems is required.
- Communication: Excellent verbal and written communication skills; ability to provide high-end customer service to Med Spa clients while maintaining efficiency in a busy medical environment.
- Marketing Interest: A basic understanding of social media or digital marketing is a strong asset.
- Soft Skills: High level of adaptability, multitasking, and a professional appearance suitable for a clinical and aesthetic setting
