Overview
We are seeking a highly organized and proactive Executive Assistant to support our large and busy Union Local. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to work in a dynamic environment where attention to detail and professionalism are essential. The Executive Assistant will play a vital role in ensuring smooth daily operations and effective management of schedules and correspondence.
Duties
- Using the President's calendar, prepare meetings for the Units, Executive and Membership using established timelines and templates.
- Working with the Treasurer, coordinate registration to functions as they arise.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and professionalism. When approved, send these same reports out to the desired audience.
- Handle incoming calls with excellent phone etiquette.
- Assist with data entry, filing, and document management through Microsoft Office and other platforms specific to the Local.
- Provide excellent communication to Members, Employers and other allied organizations.
- Perform general clerical tasks including photocopying, scanning, filing, and organizing documents.
- Maintain organized office supplies inventory and front desk operations.
- Facilitate communication across departments to ensure timely completion of projects.
- Help Executive Members set up their email addresses.
- Upload information to the website and private member portals and social media.
- Working with other administrative staff, using Microsoft Excel and other platforms, maintain the member management system.
Experience
- Previous office experience or administrative support roles preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with data entry is essential.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent written and verbal communication skills along with professional phone etiquette.
- Demonstrated ability to proofread documents accurately and manage time effectively.

Pay: $30.60-$31.84 per hour
