Position: Program Coordinator
Site: Toronto General Hospital
Department: Medicine, Division of Cardiology
Reports to: Head, Division of Cardiology and members of the Division
Scale/Grade: Commensurate with experience and consistent with UHN Compensation Policy
Hours: 35 hours per week, Monday to Friday
Salary: $29.38 to $36.73 per hour
Status: Temporary full time, 1-year maternity leave
Summary:
The Division of Cardiology, UHN/MSH is an integral part of the Peter Munk Cardiac Centre. It is comprised of over 60 Division faculty members, over 50 fellows, 11 residents and a large number of support staff. The position provides administrative support to the Head, Division of Cardiology and members of the Division.
Key responsibilities include:
Coordinate meetings with internal and external contacts, arrange itineraries, meeting rooms and catering.
Communicate and disseminate relevant information to staff though e-mail, memoranda, meetings or other appropriate communication media.
Maintain Division directory and fellows lists.
Provide technical and procedural guidance for hospital staff.
Authorize bi-weekly payrolls for approximately 30 medical admin assistants and 15 research staff.
Organize faculty recruitment including advertising, Selection Committee meetings, and ensure that hospital and University of Toronto application paperwork is complete.
Assist with orientation, office set-up and training for new staff.
Responsible for faculty, fellow and resident on-call schedules, ensuring that on-call schedules and changes are distributed, and that the hospital online paging system is kept updated.
Assist in generating the 6-month faculty on-call schedule.
Compile and distribute “Cardiology Weekly” newsletter for subspecialty teaching and research rounds, on-call schedules and other notices.
Coordinate Department of Medicine/University of Toronto faculty teaching assignments for the Division of Cardiology.
Collect annual reports and arrange annual reviews for approximately 60 faculty members.
Event planning for annual Division of Cardiology social events.
Qualifications:
At minimum completion of high school and additional program, one year and over, in medical or business postsecondary office administration diploma program or recognized equivalent.
Bachelor’s degree preferred.
Minimum of 5 years’ experience in a health care environment required, as well as knowledge of general office practices, procedures and standards, and the ability to work independently and meet deadlines.
Experience in a Microsoft Office environment required.
Excellent verbal and written communication skills required.
Strong organizational and time management skills required, including flexibility for multi-tasking and changing priorities at short notice.
Excellent interpersonal and motivational skills required, as well as the ability to maintain Program confidentiality.
Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
