Working with the Corporate Facilities team located in Ottawa, the Facilities Coordinator - Programs will play a crucial role in coordinating programs for physical security, WFH furniture, server room HVAC replacement, as well as writing, and monitoring Facilities policies, procedures, and communications material. This role will also involve documenting Requests for Information (RFIs) and Requests for Proposals (RFPs) to support our operational and strategic goals. The ideal candidate will have a strong background in physical security, policy development and effective communication strategies.

What the job is all about:
- Conduct reviews and audits, assessing the implementation of programs to identify any issues or concerns and recommend appropriate corrective action.
- Prepare written statistical reports as required.
- Regularly improve processes and procedures by identifying and documenting changes in practices, and scope of business activities.
- Maintain applicable program directives, regulations, manuals and guidelines.
- Provide input to Emergency response plan.
- Physical Security Program:
- Survey existing security measures and installations to ensure a standardized security program, and processes while ensuring that all documentation and operational processes are well written, uniform, and integrated.
- Participate in the design and development of systems for access control, video surveillance, intrusion detection, and protective measures against attacks.
- Provide regular advice, support and guidance on a wide variety of safety and security issues.
- Be involved in initial security response to situations/incidents and ensure appropriate emergency services are advised including notification to management and others as required.
- Collect and analyze security data and identify trends and potential causes of security related incidents, criminal activity and disturbances and reports data
- Conduct threat analysis, vulnerability assessments, and security assessments on Ross office locations.
- Provide input and support on security-related projects and initiatives.
- Support the development of internal physical security awareness campaigns.
- Policy and Procedure Development:
- Develop, review, and update facilities policies and procedures to ensure compliance with regulations, standards, and best practices.
- Administers standards, guidelines and procedures as it relates to Facilities.
- Communications:
- Create clear, concise, and engaging communication materials including reports, memos, newsletters, and presentations.
- Develop communications to effectively convey Facilities messages and updates to internal audiences.
- Edit and proofread documents to ensure accuracy, consistency, and adherence to style guidelines.
- RFI and RFP Management:
- Coordinate Requests for Information (RFIs) and Requests for Proposals (RFPs) to support procurement and partnership initiatives.
- Coordinate with various departments to gather and integrate requirements into RFI/RFP documents.
- Evaluate responses and provide recommendations based on criteria and organizational needs.
- Other related duties as required.
Who you are:
- Minimum of 3 years’ experience in Facilities that includes responsibility for physical security.
- Post-secondary education in Facilities related field or Security preferred with equivalent work experience considered.
- Ability to be part of the after hours on-call rotation.
- Demonstrated positive working relationship with internal and external customers.
- Possess a high degree of originality, creativity, initiative requiring minimal supervision.
- Knowledge of MS Office suite software including Outlook, Word, Excel, and PowerPoint.
- Excellent verbal and written communication skills.
- Ability to respond quickly and accurately to all client requests; strong trouble-shooting skills.

- May require travel to Global facilities.
- Able to lift 25 lbs.
