Position Summary
The Receptionist is responsible for supporting the firm's daily administrative operations while providing exceptional service to clients. This role requires excellent organizational skills, attention to detail, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced professional environment.
Key Responsibilities
- Welcome clients and visitors in a professional and friendly manner.
- Answer and direct incoming phone calls and respond to email inquiries.
- Schedule appointments and manage partner and staff calendars.
- Prepare, organize, and maintain client files and confidential records.
- Assist with document preparation, scanning, filing, and electronic document management.
- Receive, sort, and distribute incoming mail and courier deliveries.
- Coordinate client signatures using electronic signature platforms.
- Assist with tax season administration and workflow coordination.
- Maintain office equipment and liaise with vendors and service providers.
- Support partners and accounting staff with administrative projects and special assignments.
- Ensure client confidentiality and compliance with firm policies.
Qualifications
- Strong proficiency with Microsoft Office (Word, Excel, Outlook, and Teams).
- Excellent written and verbal communication skills.
