Luke’s Place is seeking a full time, experienced Administrative Assistant to provide professional administrative support to the delivery of its innovative programs and services to women and their advocates.
Luke’s Place is the only stand-alone family law support centre for women who have been subjected to abuse in Canada. It provides direct services to hundreds of women and their children in Durham Region every year and shares its expertise with thousands of service providers across Ontario through training programs, resources, tools and mentoring. It is a recognized leader for improving the understanding of violence against women and its implications in the family law context and is a two time recipient of the Attorney General Victim Services Award of Distinction. Organized and energetic professional with demonstrated experience in performing administrative duties;
Post-secondary diploma in office administration, legal administration or related/equivalent education;
Understanding of and commitment to a feminist, gender based, intersectional analysis of woman abuse is essential;
Excellent written and verbal communication skills, attention to detail is essential, problem solving skills and ability to prioritize work;
Exceptional interpersonal skills to interface with community agencies, the staff team, the board of directors, lawyers and clients while maintaining a high level of confidentiality in all interactions;
Demonstrated ability to handle multiple priorities, work under pressure and meet tight deadlines;
Sound knowledge of office management systems and procedures and working knowledge of office equipment;
Proficiency in MS Office (Excel, word and PowerPoint);
Proven ability to work independently and in a team environment.
Provide administrative support to the Executive Director, provincial projects and client service staff teams;
Assist with coordination of volunteer schedules and liaise with volunteers for same;
Answer, screen and transfer inbound phone calls and receive and direct service users and visitors;
Learning portal user management, facilitate virtual meetings using GoToMeeting;
Assist in preparation of funding reports;
Support users of case management database, run accurate reports, statistical analysis;
Coordinate all logistics for meetings and training events;
Coordinate office processes and outsourced services;
General administrative duties including photocopying, mail distribution, data entry, taking meeting minutes and file maintenance;
Maintain supplies and equipment;
Ensure the efficient day-to-day operation of the office;
