Forthright Properties is seeking a highly organized and proactive Maintenance Coordinator to support the daily maintenance operations of our residential apartment portfolio across Manitoba. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating people and resources, and takes pride in delivering exceptional service to residents.
As the central point of contact for maintenance requests, the Maintenance Coordinator ensures work orders are assigned, scheduled, completed, and reviewed efficiently. You will collaborate closely with maintenance technicians, contractors, property managers, and residents to help maintain safe, well-cared-for communities.
WHAT YOU'LL DO:
- Receive, prioritize, and create maintenance work orders.
- Dispatch and schedule maintenance technicians based on urgency, location, and workload.
- Monitor work order progress and ensure completion within established service standards.
- Review completed work orders for accuracy, completeness, and quality.
- Identify recurring maintenance issues and escalate concerns as needed.
- Coordinate daily and weekly schedules for maintenance technicians.
- Schedule third-party vendors and contractors for repairs, inspections, and preventative maintenance.
- Ensure technicians and vendors have the information, materials, and access required to complete work.
- Coordinate emergency repairs and after-hours maintenance responses when required.
- Build and maintain positive relationships with contractors and service providers.
- Obtain quotes, schedule services, and track vendor performance.
- Respond professionally to resident maintenance inquiries and concerns.
- Communicate repair timelines and provide regular status updates.
- Support the delivery of exceptional resident service across all properties.
- Audit completed work orders to ensure proper documentation and labour tracking.
- Follow up with residents to confirm satisfaction and work completion.
- Maintain accurate records within property management and maintenance systems.
- Prepare maintenance reports, scheduling updates, and operational summaries.
- Assist in tracking preventative maintenance programs and seasonal projects.
- Support budgeting activities by monitoring invoices and repair costs.
WHAT WE'RE LOOKING FOR:
- Minimum 2 years of experience in maintenance coordination, property management, facilities management, dispatching, or a related field.
- Clear criminal check.
- Strong organizational, scheduling, and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications, including Outlook, Excel, Teams, and Word.
- Strong attention to detail and commitment to accuracy.
- Ability to adapt quickly to changing priorities and competing demands.
- Experience within residential property management.
- Knowledge of building systems, maintenance operations, and skilled trades.
- Experience using work order management or property management software.
- Understanding of Manitoba residential tenancy practices and workplace safety requirements.
