We’re looking for an organized and energetic Office Assistant to join our team. In this role you will be responsible for general office duties, reviewing intake and adoption applications, and consistently communicating with the public through email, over the phone, or in person. The ideal candidate will be detail-oriented, highly organized and possess a deep sense of compassion, sensitivity, and patience.
About Dog Tales Rescue & Sanctuary
Dog Tales is a world-renowned dog rescue and horse sanctuary set on an incredible 50 acres of green fields, rolling hills, and wooded areas in King City, Ontario. Our picturesque location - complete with kilometers of walking trails, therapy pools, and a grooming spa - is the perfect setting for abused and neglected animals to heal and be rehabilitated while they wait for forever homes. Along with medical care, our team provides all of the love, attention, and training that our rescue animals need to recover from their difficult pasts, so that they can move on to permanent, loving homes, which most do. The Role
As an Office Assistant, you will work closely with the public. Your responsibilities will include:
- Office administration duties including scheduling appointments, answering emails and phone calls
- Review and communicate with the team regarding intake and adoption applications
- Ensure our website and select social media groups are kept accurate and up to date
- Prepare the office and kennel for our Sunday Open House, as well as greet guests and answer any questions regarding our adoption process
- Continuously communicate with potential adoptive families and alumni to ensure information is up to date and accurate
- Greet and assist new volunteers and donors
- Work with clients to complete paperwork for adoption and surrender appointments
- Assist with onboarding of new team members
- Ensure office and adoption supplies are stocked and communicate with the appropriate departments if supplies are needed
- Consistently liaise with other departments for different tasks as needed

- 2+ years of experience in an administration/reception role.
- Strong customer service skills with the ability to handle difficult situations in a tactful manner.
- Strong organizational skills with the ability to work independently.
- Ability to work efficiently under tight deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong computer literacy. Experience with Google Workspace is preferred.

Compensation: $42,000 per annum
Schedule This is a full-time position with a schedule of 9 AM – 6 PM, five days a week, including weekends.
Please note, this position is onsite. Additionally, reliable access to a car is necessary as there is no public transit near our facility.
