We are seeking a dynamic and detail-oriented individual to join our team as a Bookkeeper. As a Bookkeeper, you will play a crucial role in maintaining the financial health of our company. Responsibilities:
Accounts Receivable (AR) Management:
- Email, fax, and mail statements to clients, ensuring accurate and timely communication.
- Follow up on overdue AR statements to guarantee prompt and accurate payments with assistance of team leads regarding payment status.
- Posting payments into pharmacy management software (Kroll) to reconcile accounts
- Evaluate outstanding invoices in monthly AR meetings, making decisions on pursuing or resolving outstanding payments.
Expense Monitoring and Management:
- Monitor operating expenses and collaborate with staff members to ensure sustainable spending.
- Assist with purchasing equipment required for pharmacy and seek alternative cost-effective solutions
- Evaluate payroll and expense accounts on monthly basis to ensure adherence to budget guidelines making decisions on changing
Bookkeeping tasks:
- Assist main book keeper in month-end and year-end financial responsibilities as well as payroll, bank reconciliation, etc.
- Cash handling responsibilities for depositing cash in bank
- Assist in posting invoices from vendors as well as assist main book keeper with other tasks related to posting in QuickBooks (COGS, insurance payments, and rebates, etc.)
Human Resources (HR) Responsibilities:
- Screen potential hires and coordinate interviews with managers.
- Create employee contracts for new hires.
- Scheduling performance evaluations for team leads and employees to perform, and gather data for team lead to use in evaluation including gathering KPIs, lateness records, sick days, and other relevant metrics
- Assist team leads with HR issues and address employee-related concerns.
- Sit in on challenging meetings, such as employee terminations or probation discussions, providing support to team leads throughout the process.
Qualifications:
- Proven experience in bookkeeping and accounts receivable management
- Strong analytical skills and attention to details
- Ability to handle sensitive HR matters with discretion and professionalism
- Excellent communication and interpersonal skills
- Proficiency in financial software such as QuickBooks and Excel
