Your role

The Administrative Assistant supports the activities of the Executive team and the larger kids in-house production unit and is privy to information which is highly confidential regarding the business plans and strategy of the department.

Key Tasks:
Supports the Senior Director with communication and correspondence within CBC and with the wider production community.
Manages Sr. Director's appointment schedule and meetings.
Books travel, manages conference participation and is responsible for setting up meetings and providing agendas for Senior Director and Executive team.
Reconciles travel and other expenses of the Senior Director and Execs in Charge of Production. Tracks expense submissions.
May attend creative meetings of a confidential nature. Preparation of confidential reports and presentations.
Create and manage a departmental project calendar.
Responsible for booking and running weekly and monthly CBC Kids team meetings.
Helps coordinate all-staff meetings and off-site activities.
Helps coordinate office moves, orders and manages office supplies and all equipment for team workspace.
Require access to confidential information as part of their regular job duties such as matters relating to contract negotiations, grievances and collective agreement bargaining.
Works directly with sensitive and confidential information relating to communications, policy and regulatory matters, organizational restructuring, budget constraints, financial impacts, labour relations and communication activities.
Undertakes special projects as required.
Maintain team files and systems both paper and electronic.

We are looking for a candidate with the following:
KNOWLEDGE: Ability to navigate, network and collaborate with Executive team and the larger kids in-house production unit. Proficiency with electronic mail, spreadsheets, calendars, word processing and industry software. Familiarity with industry/CBC practice.
CREATIVITY: Supports the Senior Director with communication and correspondence within CBC and with the wider production community. May attend creative meetings of a confidential nature. Preparation of confidential reports and presentations.
MENTAL EFFORT: This position is one of constantly changing and multiple. This position requires an individual who can exercise good judgment, initiative, problem solving skills and decision making capabilities. Works directly with sensitive and confidential information relating to communications, policy and regulatory matters, organizational restructuring, budget constraints, financial impacts, labour relations and communication activities.
PHYSICAL SKILLS: Requires physical mobility and proficient computer skills.
INTERPERSONAL AND COMMUNICATION SKILLS: Must be highly articulate and be able to listen, empathize, support and challenge others. Interaction with others is a daily requirement.
Post secondary, graduation from Community College or the equivalent.
A minimum of three years of relevant experience that demonstrates an in-depth understanding of the project management, proficiency in office software from Microsoft and Google.
