Job Overview
We are seeking a highly organized and proactive Entry-Level Executive Assistant to support the General Manager in a dynamic, fast-paced environment. Responsibilities
- Manage and coordinate the General Manager’s calendar using Microsoft Outlook Calendar and Google Workspace to schedule meetings, appointments, and deadlines.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all administrative records.
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial reporting.
- Support front desk operations by greeting visitors, managing mail distribution, and maintaining a professional reception area.
- Prepare correspondence, reports, and presentations utilizing Microsoft Office applications such as Word, Excel, and PowerPoint.
- Use DocuSign for electronic signatures on contracts and important documents.
- Maintain organized files both digitally and physically to ensure quick retrieval of information.
- Provide general administrative support including photocopying, faxing, and assisting with special projects as needed.
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Experience with QuickBooks bookkeeping software is preferred.
- Strong organizational skills with the ability to prioritize tasks efficiently.
- Excellent typing speed and data entry accuracy.
- Effective communication skills with professional phone etiquette.
- Office experience or clerical experience is a plus.
- Attention to detail for proofreading documents and maintaining accurate records.
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Familiarity with multi-line phone systems and front desk operations.

Pay: $50,103.66-$76,682.22 per year
