Job Summary:

The Administrative Assistant (AA) position provides support in terms of administrative and clerical work for the office operations to run in a smooth fashion. This person is the first point of contact to the business, and therefore must possess exceptional communication skills both verbal and written. The AA position requires a confident, courteous individual with a high level of professionalism to manage direct contact with clients, and high-level Executives, internally and externally, and their assistants.

The Administrative Assistant must possess self-discipline and time management skills, and must be adaptable to succeed in a constantly changing environment: daily volumes fluctuate and are sometimes unpredictable.

Accountabilities:

  • Maintain professional business conduct
  • Ensure all tasks and projects are completed in time

Responsibilities:

  • Review, sort, and/or respond to emails
  • Facilitate signatures for pending paperwork and contracts
  • Answer and manage/dispatch telephone calls
  • Greet clients and direct them as needed
  • Review, sort, and/or respond to emails
  • Creating and posting on social media accounts
  • Event planning
  • Onboarding of new clients
  • Book appointments: call leads and clients
  • In person appointments
  • Follow up calls
  • Video conference calls
  • Manage calendars
  • Tidy storage cabinets and the main reception area as needed
  • Create spreadsheets as needed
  • Document management: digital data entry
  • Sending updates to clients
  • Any tasks/assignments given by superiors
  • Completing any printing and scanning requirements
  • Completing any binding requirements
  • Ensuring printer paper is full, business card holder is full, cabinets/shelves are organized, recycling bins are emptied, cardboard is taken to recycling room, snacks are organized/replenished, and various chocolate bowls are replenished
