Overview
We are seeking a Dental Receptionist/Recall Coordinator who is friendly, skilled and self-motivated to join our team. The ideal candidate should have experience working in a dental office setting and possess strong administrative skills. Administrative Responsibilities:
- Greet patients and visitors in a professional and friendly manner.
- Make positive and lasting impression with families from the moment they walk in to the moment they leave.
- Front Desk duties
- Checking patients in and out
- Managing a 3 line phone system and patient inquiries in a cheerful manner.
- Processing patients insurance claims and payment transactions at the end of their appointments.
- Making sure all patients have their next required appointment(s) scheduled.
- Maintain electronic medical records using software such as Tracker
- Assist with administrative tasks to ensure the smooth operation of the front desk
- Coordinate communication between patients and dental staff
- Manage office supplies and ensure the reception area is tidy
- Build strong relationships with patients to ensure trust and loyalty.
Hygiene Coordinator Responsibilities:
- Confirming our hygiene schedule.
- Priority is to fill any open time for the hygienists.
- Chart audit and coordinate all hygiene charting at the daily chart review.
- Do recalls and keep the hygienists well booked. This is to include all patients who are overdue for their hygiene appointments.
- Deal with or follow-up on all hygiene no shows and cancellations and get them rebooked as soon as possible.
- Managing the short notice cancellation list.
- Build strong relationships with hygienists to ensure trust and loyalty.
- Assist with front desk admin duties as needed.
Experience:
- 3+ years of experience as a Dental Receptionist or in a similar role is required
- Proficiency in using electronic medical record systems like Tracker
- Knowledge of dental terminology and procedures
- Time management, strong organizational skills and multitasking abilities
- Familiarity with phone systems and office equipment
- Excellent communication and customer service skills
- Positive attitude
- Ability to work in a high volume, fast pace environment
Schedule:
Monday 7:30am to 3pm
Tuesday 7:30am to 4pm
Wednesday 7:30am to 5pm
Thursday 7:30am to 4pm
Friday 7am to 2pm
**No Weekends**
