Job Purpose
Bio-Ag is seeking an organized and proactive Office Administrative Assistant to support the daily operations of our Wellesley office. This position will start part-time (3 days per week) until December 2026 and will transition to a full-time schedule (5 days per week) beginning in December 2026. Working days are flexible, with regular hours of 8:30 a.m. to 5:00 p.m. The successful candidate will assist with customer service, sales administration, shipping logistics, office coordination, and other administrative functions to support the continued success of our team and customers.
Duties and Responsibilities
Administrative & Office Support
- Coordinate communication between customers, vendors, and staff.
- Prepare internal sales and production documents.
- Maintain organized records, files, and office documentation.
- Assist with general office tasks and day-to-day administrative support.
Customer Service & Order Support
- Answer customer calls and emails professionally.
- Prepare and process sales orders accurately.
- Support customer service follow-up as needed.
Shipping & Inventory Support
- Schedule courier shipments.
- Assist with third-party long-distance shipment coordination.
- Support inventory-related tasks, including floor stock counts and projected product requirements as backup.
Marketing & Event Support
- Assist with content for websites, blogs, social media, newsletters, and other marketing materials.
- Support marketing events such as trade shows, promotions, and product launches.
- Help maintain Bio-Ag’s brand consistency across marketing platforms.
Qualifications
· University degree or college diploma in Business Administration, Office Administration, Marketing, Communications, Agriculture Business, or a related field.
· Equivalent education and relevant experience may also be considered.
· Strong written and verbal communication skills.
· Proficiency with Microsoft Outlook, Word, and Excel.
· Experience with Canva, social media, or other design/editing tools is considered an asset.
· Strong attention to detail, organization, and time management skills.
· Comfortable working in an office/manufacturing environment.
· Must be able to work on-site in Wellesley and have reliable transportation, as public transportation is limited.
Key Competencies

Employment Type & Schedule
Employment Type: Full-Time Permanent (Transition Schedule)
This position will begin on a part-time basis until December 2026, with the successful candidate
working 3 days per week. Starting December 2026, the position will transition to a full-time schedule
of 5 days per week. Working days are flexible and will be determined in collaboration with the
successful candidate and business needs.
