Job Summary
Palladium Medical Clinic is seeking a professional and organized Medical Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, familiarity with medical office procedures, and proficiency with electronic medical records systems. The Medical Receptionist plays a vital role in ensuring smooth daily operations within a busy medical practice. We are looking for a full-time medical receptionist to work 40 hrs per week with some flexibility in hours. This position is to cover for a 1 year mat leave starting July 2026 with potential to extend long term. Hours will be between 8:30 am to 5pm. Flexibility to maybe cover occasional evenings 5-8pm. Excellent computer skills are essential and medical EMR knowledge an asset. Responsibilities include registering patients, triaging large volume of patient calls, booking appointments and fax/scanning documents in the EMR. We are a family medical team including 7 doctors, 2 nurses and 4 receptionists providing excellent care in the community. We are located in Kanata at Terry-Fox and Palladium intersection, adjacent to the 417. Hourly wages to be discussed with a 3 month probation period.

Responsibilities
- Greet patients warmly and professionally upon arrival, ensuring a positive patient experience
- Manage multi-line phone systems to schedule appointments, answer inquiries, and direct calls appropriately
- Verify patient information and update electronic medical records accurately using PSS Telus system
- Collect and process patient payments, verify OHIP cards.
- Schedule, confirm, and reschedule appointments efficiently to optimize provider availability
- Maintain organized front desk operations, including handling correspondence and filing paperwork
- Assist with patient check-in and check-out procedures while ensuring confidentiality of sensitive information
- Support administrative tasks such as data entry, filing, and managing office supplies
- Collaborate with clinical staff to facilitate smooth patient flow and communication
Qualifications
- Prior experience as a Medical Office setting is highly preferred
- Proficiency with PS Suite - Electronic Medical Records (EMR) systems is required
- Strong knowledge of Medical Terminology is advantageous
- Demonstrated experience with office equipment including multi-line phone systems and office software
- Excellent organizational skills with attention to detail and accuracy in data entry
- Exceptional communication skills, both verbal and written
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Previous experience working in a healthcare setting is preferred but not mandatory; training will be provided for qualified candidates
