As the management company for Ambulance New Brunswick and the Extra-Mural Program, we're looking for an Administrative Assistant / Scheduler to help us ensure patients receive exemplary, highly coordinated primary health care in the right place, from the right provider, at the right time.

Reporting to, the Senior Manager of Deployment and Medical Communication Management Centre (MCMC), the incumbent is responsible for providing day to day business support and administrative services for the MCMC. This position is essential to assist in the efficient and effective management of the MCMC to ensure inquiries, reports and general administrative issues are dealt with in a timely and appropriate manner.
In this role, you will be responsible for:
typing correspondence, memos, confidential reports, and agendas. You may upon request, compose replies for general correspondence on behalf of the Senior Manager or other team members within the regional office;
listen and transcribe 9-1-1 recordings;
review On Line Medical Control (OLMC) recordings;
exemptions/exception reconciliation and reporting;
using the computer aided dispatch (CAD) for verification of information and searching required data;
review all Transport adapté and extra Mural billing inquiries for verification of invoices and approval;
coordination of procurement, scheduling shifts in the computer database, payroll and orientation of the regional office for new employees;
coordination of listen-along program, student placements, and special event requests;
assisting in the development of presentation materials using desktop technology;
proofreading transcribed correspondence for grammatical accuracy, sentence structure and content;
organizing and coordinating travel arrangements, meeting facilities and compiling monthly expense claim forms;
ordering and maintaining stationery, office supplies, etc., following approved purchasing guidelines;
receiving and prioritizing incoming phone messages, e-mails, faxes, mail, couriers etc. for the MCMC;
maintaining the MCMC filing system and keeping an accurate record of correspondence and reports;
greeting customers and stakeholders as they arrive at the MCMC.
As the ideal candidate for this role, you:
possess a post-secondary education in office administration or equivalent combination of experience and education;
have a minimum of three years related experience working in an office environment, preferably with experience in the health care industry;
have strong computer skills using a variety of office software products;
are willing and able to learn and use specialized administrative dispatch related software;
have the capacity to listen to 9-1-1 calls of all type
have the ability to sometime work evening and weekends
work well in a fast-paced environment;
are well organized with the ability to prioritize workload;
are a self-motivated team player and able to work independently;
possess excellent typing and proof-reading skills with high attention to detail;
have excellent communication skills both oral and written;
are comfortable working to a schedule with demanding turn-around times.
Bilingualism would be considered an asset.
