Human Resources Assistant
As an exciting and fast-growing leader within the international corporate event and tradeshow exhibit industry, Pro-X Event is looking to expand our team with a highly organized, proactive, and enthusiastic Human Resources Assistant.
The Human Resources Assistant provides administrative and operational support to the Human Resources Manager, helping keep day-to-day priorities organized and running efficiently. This role focuses on the behind-the-scenes work that keeps the department moving - from coordinating recruitment activities and organizing documentation to maintaining employee records, researching solutions, managing projects, and following up on the countless details that help our business run smoothly.
While this role will initially focus on providing administrative support and taking ownership of many of the department's day-to-day responsibilities, it offers significant opportunity for growth. As trust, knowledge, and experience develop, you'll have the opportunity to become involved in larger projects and company-wide initiatives.

Responsibilities
- Provide administrative and operational support to the Human Resources Manager.
- Help organize daily priorities by tracking action items, deadlines, and ongoing projects.
- Review resumes and assist with recruitment administration, including managing postings.
- Schedule interviews and communicate professionally with candidates throughout the recruitment process.
- Handle confidential employee and company information with professionalism, discretion, and integrity.
- Support maintaining accurate and up-to-date employee files and confidential HR records.
- Coordinate the collection and tracking of company policies, acknowledgements, and other sensitive employee documentation to ensure records remain complete and compliant while maintaining strict confidentiality.
- Follow up with employees regarding outstanding paperwork, policy acknowledgements, forms, and required documentation.
- Prepare purchase orders and departmental purchasing.
- Maintain spreadsheets, trackers, reports, and project documentation to ensure information remains accurate and up to date.
- Follow up with internal teams, vendors, candidates, and suppliers to ensure projects and tasks continue moving forward.
- Assist with onboarding, offboarding, and other HR administrative processes.
- Assist with employee engagement initiatives, company events, orientation sessions, and special projects.
- Identify opportunities to improve organization, processes, and efficiency within the department.
- Take on new responsibilities and projects as the role evolves and business needs grow.
Qualifications
- Post-secondary education in Human Resources, Business Administration, Office Administration, Project Management, or a related field.
- An HR Management Graduate Certificate is considered a strong asset.
- 1+ years of experience in an administrative, HR, coordination, or operations support role is considered an asset.
- Demonstrated professionalism and the ability to handle confidential and sensitive information with sound judgment, discretion, and integrity.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
- Strong proficiency in Microsoft Office (particularly Excel) and Google Workspace.
- Comfortable learning new technology, software, and internal systems.
- A positive attitude, willingness to learn, and a proactive approach to problem-solving.

Pay: $45,000.00-$50,000.00 per year
