We are seeking a friendly, detail-oriented and organized Customer Service / Office Administrator to join our team.
Job Overview
The Customer Service Representative & Office Administrator serves as the first point of contact for customers, both in person and by telephone. This role requires strong customer service abilities, excellent interpersonal and communication skills, and the ability to effectively coordinate communication between customers and production staff.
The successful candidate will possess solid computer skills, including proficiency with Microsoft Office applications such as Word and Teams. Experience working with PrintSmith or similar print industry Management Information Systems (MIS) is considered an asset. Responsibilities include preparing customer estimates, creating production dockets, managing digital files, and operating printers to produce print jobs accurately and efficiently.
Additional administrative responsibilities include processing customer payments, completing daily cash reconciliations, and performing a variety of general office and administrative tasks as required.
Key Responsibilities
Customer Service
- Serve as the primary contact and source of information for customer print jobs.
- Communicate professionally and effectively with customers, production staff, and vendors.
- Understand customer requirements and identify opportunities to recommend additional products or services.
- Gather job specifications and plan all stages of production to ensure quality and timely completion.
- Prepare and communicate job estimates to customers.
- Create and maintain accurate production dockets and customer records using PrintSmith or similar Management Information Systems (MIS).
- Track jobs throughout the production process and resolve communication or production issues as needed.
- Inspect proofs for accuracy and distribute proofs to customers for approval.
- Compare completed jobs against original estimates, verify any changes, and update documentation accordingly.
- Follow up with customers to ensure satisfaction and address any concerns.
Administrative Duties
- Process customer payments and respond to account inquiries.
- Perform daily cash reconciliations and cash-outs.
- Organize, file, and maintain production dockets and office records.
- Maintain front office inventory, including ordering office supplies and materials as required.
- Ensure customer-facing areas remain clean, organized, and professional.
- Perform general administrative and clerical duties as assigned.
