Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant specializing in Immigration to support our legal team. The ideal candidate will possess strong clerical skills, excellent research abilities, and a solid understanding of legal documentation processes. This role involves managing sensitive immigration cases, preparing legal drafts, and ensuring smooth administrative operations within a fast-paced environment. The position offers an opportunity to work closely with legal professionals and contribute to impactful immigration projects.
Duties and Responsibilities
- Answer and direct phone calls, emails, and other inquiries in a professional manner.
- Greet clients and visitors and provide general administrative support.
- Prepare, edit, and organize documents, reports, letters, and correspondence.
- Maintain accurate filing systems, both electronic and paper-based.
- Schedule appointments, meetings, and maintain office calendars.
- Perform data entry and update company records and databases.
- Receive, sort, and distribute incoming mail, courier packages, and deliveries.
- Order and maintain office supplies and ensure the office is well organized.
- Assist with preparing invoices, purchase orders, and other administrative documents.
- Coordinate meetings, prepare agendas, and take meeting notes when required.
- Support management and other team members with day-to-day administrative tasks.
- Maintain confidentiality of company and client information.
- Ensure compliance with company policies and office procedures.
- Perform other administrative and clerical duties as assigned.
Experience
- Prior administrative experience in a legal or immigration setting is preferred
- Strong organizational skills with the ability to manage multiple tasks efficiently under tight deadlines
- Excellent writing skills, attention to detail, and the ability to handle sensitive information discreetly
- Familiarity with clerical tasks including filing, data entry, and maintaining organized records

Pay: $15.00-$18.00 per hour
