We are looking for a highly organized, responsive, and accountable individual to join our team as a Staffing & Projects Coordinator.
Position Overview
The Staffing & Projects Coordinator plays a critical role in our operations, responsible for staffing, coordinating, and preparing all jobs for execution.
This position acts as the central link between clients, field personnel, and internal operations, ensuring that all projects are properly staffed, documented, and ready for execution.
This is a fast-paced, high-responsibility role that requires strong decision-making, attention to detail, and the ability to respond quickly to changing job requirements.
Key ResponsibilitiesSales & Job Handoff
- Review job details including scope, timelines, location, and requirements
- Ensure all necessary information is captured and ready for execution
- Take full ownership of job setup once handed off
Staffing & Scheduling
- Source, recruit, and maintain a pool of qualified field personnel
- Assign crews based on job requirements and client expectations
- Schedule and coordinate manpower across multiple active projects
- Adjust staffing in real time based on changes to scope or timelines
Coordination with Operations Team
- Work closely with the Safety & Office Manager to ensure:
- Flights and hotels are booked
- Safety tickets and certifications are valid and submitted
- Site orientations are completed
- Client documentation requirements are met
- Coordinate with the Turnaround Coordinator to ensure tooling and equipment align with staffing plans
Client & Field Communication
- Serve as the primary contact for staffing and coordination-related communication
- Respond to client manpower requests, schedule changes, and job updates
- Communicate clear expectations to field personnel
General Operational Support
- Track job progress and identify risks or issues early
- Assist with time tracking, reporting, and job documentation
- Support overall execution in coordination with the VP of Operations
On-Call Requirements
- Available outside standard business hours to:
- Fill urgent manpower needs
- Manage last-minute changes or call-offs
- Respond to client or field issues
- This role requires flexibility and responsiveness tied to active field operations
Qualifications
- 2–5+ years experience in staffing, dispatch, coordination, or project support
- Experience in industrial, oil & gas, or field services preferred
- Rotating equipment knowledge or exposure is considered a strong asset
- Strong organizational and multitasking abilities
- Excellent communication and problem-solving skills
- Ability to work in a fast-paced, changing environment
- Proficient in Microsoft Office (Excel, Outlook, Word)
