Our Calgary Head Office location is seeking an experienced Project Coordinator to support our growing and diverse operations. This is an in-office, on-site position with a Monday to Friday shift.
Description:
As a Project Coordinator, you will work closely with the Project Managers and Construction Manager providing administrative support and assisting with projects from bidding to construction completion.
You will be communicating with a wide variety of individuals and/or departments; it will be your responsibility to ensure that all parties are properly communicated, thereby ensuring an efficient use of resources.
Responsibilities:
- Be the construction management process subject expert.
- Work closely with the Project Manager(s) and Construction Manager to track all projects in CMS.
o Generate and Process RFI’s
o Log and Distribute SI’s
o Process Shop Drawings and Submittals
o Log and Process CO’s,PCO,VPO,CCN and any other project related documentation
o Project Document Control
- Develop and maintain effective communication structure to ensure all stakeholders are informed and up to date.
- Draft minutes for meetings, contracts, and correspondence.
- Support Project Managers, Superintendents, and Construction Manager in project administration.
- Process RFI and shop drawing submissions and other project related documents in a timely manner and maintain up-to-date and accurate tracking logs.
- Compile letters/schedules and any other items required by tender. Assist with preparation of tender and budget as directed.
- Process all change management documentation and ensure a timely response.
- Maintain organized project files in CMS and in accordance with company’s Project File Structure.
- Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.
- Maintain and manage all safety related documentation.
- Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
- Ensure exceptional, courteous, and respectful customer service.
- Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives.
- Perform any other duties as required.
Qualifications and Experience:
- Require minimum 4 years of Commercial Construction administration/coordination experience.
- Completion of post-secondary education in Construction, or relevant trade ticket/certification is preferred.
- Class 5 driver’s license with a clear abstract required.
- Superior computer skills in Microsoft Office Word, Excel, and SharePoint. Previous Construction Management Software experience is an asset.
- Ability to learn and adapt to changing systems, technology, and procedures.
- Confident, detail orientated, enthusiastic and positive team player.
- Superior interpersonal, organizational, and verbal and written communication skills
- Flexible and able to manage multiple priorities simultaneously; meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment.
- Effective and efficient problem solving and decision-making skills; thoughtful, proactive and creative.
