Job Summary
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not mandatory. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth office operations.
Responsibilities
- Greet visitors and clients in a courteous and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately into various databases, including QuickBooks if applicable
- Handle administrative duties such as filing, photocopying, and organizing documents
- Assist with billing, bookkeeping, and basic financial record keeping as needed
- Support office staff with clerical tasks including proofreading documents and managing correspondence
- Maintain a clean and organized reception area to promote a professional environment
- Provide excellent customer support by addressing inquiries promptly and efficiently
- Ensure compliance with office policies and procedures, including confidentiality protocols
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with experience in data entry and clerical work
- Familiarity with QuickBooks or bookkeeping software is preferred
- Excellent phone etiquette and customer service skills for front desk interactions
- Ability to handle multi-line phone systems efficiently
- Strong organizational skills with attention to detail for filing and document management
- Typing speed of at least 40 WPM with proofreading abilities for accuracy in correspondence
- Prior administrative or office experience, especially in medical or dental offices, is highly desirable
- Knowledge of medical or dental office procedures is a plus but not required
- Ability to multitask effectively in a fast-paced environment
