Position Title: Administrative Assistant
Location: 300 – 2920 Virtual Way, Vancouver, BC

Compensation: $50,895.00/year with benefits after four (4) months
Position type: Permanent, Full-Time.
Schedule: Monday, Wednesday, Thursday: 11:00am-7:00pm.
Tuesday, Friday: 8:30am-4:30pm.
Semester breaks: Monday-Friday, 8:00am-4:00pm.

Position Responsibilities:
- Providing information to students and prospective students about admission procedures, registration dates, deadlines, program offerings, prerequisites, important dates, immigration requirements, fees, and refund policies.
- Supporting international and domestic students with registration and paying fees.
- Assisting in routine student issues and referring more complex matters to appropriate staff and departments.
- Facilitating applications for student admission.
- Composing and providing letters to domestic and international students.
- Creating and maintaining student records.
- Taking minutes for various meetings.
- Assisting in analyzing and resolving a variety of registration issues.
- Acting consistently in a manner that aligns with Coquitlam College’s mission, values, and goals.
- Other administrative-related duties as identified by the incumbent or management.
Qualifications:
- Completion of High School diploma.
- Minimum two (2) years of related work experience in administration.
- An equivalent combination of education and experience may be considered.
- Highly proficient in the use of computer applications including word processing (MS Word), spreadsheet (Excel), etc.
- Previous experience in minute taking for meetings will be considered an asset.
- Experience working in a post secondary environment will be considered an asset.
- Experience working in a cross-cultural setting will be considered an asset.
Skills and Abilities
- Excellent written and verbal communications skills in English, including cross-cultural communication skills.
- Strong decision-making and analytical skills, including problem solving and conflict resolution.
- Ability to effectively work with and provide information, assistance and related services to international students, faculty, and staff.
- Ability to provide excellent customer service skills in a cross-cultural setting.
- Ability to handle sensitive issues with tact and diplomacy and exercise judgment in interactions with international students.
- Ability to communicate patiently and effectively with a diverse range of people and situations.
- A demonstrated ability to develop, establish and maintain good working relationships with colleagues and work as part of a team.
- A demonstrated ability to work independently towards deadlines on specific projects.
- High attention to detail and accuracy.
