Overview:
Calgary Mental Health & Wellness Centre is a client-centered psychology clinic committed to compassionate care and clinical excellence. We are seeking a Clinic Administrator to provide front-desk and client support, and ensure the clinic runs smoothly for both clients and clinicians. This role is ideal for someone with strong organizational skills, administrative experience in a healthcare setting, and proficiency in systems such as Jane App.
As the Clinic Administrator, you will be a key part of our team—overseeing client communications and scheduling logistics, assisting with billing, supporting clinicians, and contributing to a welcoming and professional clinic environment.
Please note: Occasional Saturday coverage may be required to support clinic needs.
Key Responsibilities:
Front Desk & Office Management
- Greet clients and respond to calls, voicemails, and emails with professionalism and warmth
- Maintain clinic organization, cleanliness, and supply levels
- Ensure reception and therapy rooms are tidy and stocked throughout the day
Billing, Scheduling & Financial Support
- Process payments and direct billing through Jane App
- Issue invoices and ensure accurate record keeping
Team & Contractor Coordination
- Support Clinic Director with scheduling, project timelines, and reporting
- Help with onboarding paperwork and communication for new contractors
- Maintain and update internal SOPs and clinic documentation
- Provide general support to clinicians to enhance workflow efficiency
Clinic Growth & Development
- Assist with scheduling content for social media or contributing to blog posts
- Offer insights on improving administrative systems and client experience
What We’re Looking For
Required Qualifications:
- Minimum 1 years administrative experience in a healthcare or mental health clinic setting
- At least 6 months of experience with Jane App
- Strong attention to detail and the ability to multitask effectively
- Clear and professional communication (verbal and written)
- Ability to work independently and manage multiple responsibilities
Assets (Not Required):
- Experience developing or managing SOPs/internal documentation
- Comfort with content planning for social media or clinic communication
- Familiarity with contractor roles and independent practice operations
- Experience supporting a small but dynamic clinical team
