We are seeking a Senior Project Manager – Wine Cellar Construction to lead our Custom Wine Cellar Installation efforts, ensuring exceptional field execution, customer experience, productivity, safety, and profitable growth of the service business.
Position Overview
The Senior Project Manager is responsible for the overall planning, scheduling, coordination, and successful execution of our custom wine room projects from design through installation.
This role serves as the central point of coordination between design, production, procurement, installation teams, subcontractors, and clients. While this position does not directly manage the design team or wood shop, the Project Manager is responsible for ensuring that each department has the information, decisions, materials, and timelines required to keep projects moving forward.
The ideal candidate is highly organized, technologically proficient, proactive, and comfortable managing multiple complex projects at once. They think several steps ahead, anticipate potential issues before they impact the schedule, and build clear project plans that allow both office-based and field teams to execute effectively.
This is a hands-on project management role for someone who thrives in a fast-paced, custom construction environment where communication, planning, accountability, and attention to detail are critical.
Key Responsibilities
- Develop, maintain, and manage comprehensive project schedules from project kickoff through final installation and completion.
- Coordinate project activities across design, production, procurement, logistics, installation, and subcontracted trades.
- Serve as the primary internal point of coordination for project timelines, priorities, dependencies, and deliverables.
- Ensure project management software is consistently and effectively used for scheduling, task management, documentation, communication, and accountability.
- Create and assign project tasks, milestones, deadlines, dependencies, and follow-up activities within the project management system.
- Monitor multiple concurrent projects and proactively identify scheduling conflicts, missing information, resource constraints, material delays, or other risks that could affect project execution.
- Anticipate upcoming project requirements and ensure teams have the information, approvals, materials, drawings, and resources required before work is scheduled to begin.
- Lead regular project coordination meetings and maintain clear action items, responsibilities, and deadlines.
- Coordinate effectively with team members working in the field, at client sites, and in other regions.
- Maintain consistent communication with designers, production teams, installers, subcontractors, vendors, and clients throughout the project lifecycle.
- Track project progress against schedules and communicate changes, risks, and required decisions to the appropriate stakeholders.
- Coordinate site measurements, deliveries, installation schedules, subcontractors, and other field activities.
- Maintain organized and accurate project documentation, including drawings, specifications, change orders, approvals, schedules, site information, and installation requirements.
- Help establish and continuously improve project management workflows, templates, reporting tools, and standard operating procedures.
- Use project data and reporting to identify bottlenecks, recurring issues, and opportunities to improve project execution.
- Support project budget tracking, change management, and scope control in coordination with management and other team members.
- Ensure projects are properly prepared for installation and that outstanding issues are identified and addressed before field teams arrive on site.
- Promote a culture of accountability, communication, planning, and continuous improvement across project teams.
Qualifications
- 5–10+ years of experience in project management, construction project management, architectural millwork, cabinetry, custom residential construction, interior build-outs, or a related field.
- Demonstrated ability to manage multiple complex projects and schedules simultaneously.
- Strong understanding of construction sequencing, project dependencies, drawings, materials, site conditions, and installation coordination.
- Exceptional planning and organizational skills with the ability to anticipate issues and manage projects proactively rather than reactively.
- Strong communicator who can coordinate effectively between office teams, production teams, field personnel, subcontractors, vendors, and clients.
- Comfortable managing team members and project stakeholders who may be working remotely, in the field, or in different geographic regions.
- Highly proficient with technology and enthusiastic about using software to improve project visibility, communication, scheduling, and accountability.
- Significant experience with project management platforms such as Buildertrend, Monday.com, Asana, Microsoft Project, or similar systems. Buildertrend experience is a significant asset as the tool that we use.
- Ability to quickly learn new software and help establish best practices for how technology is used across the project lifecycle.
- Strong attention to detail with excellent follow-through and documentation habits.
- Able to identify risks, develop contingency plans, and make informed decisions before issues affect project timelines.
- Comfortable working independently while coordinating extensively across multiple departments.
- Experience with high-end residential construction, custom millwork, cabinetry, architectural interiors, or luxury projects is an asset.
- PMP or equivalent project management certification is an asset.
