About the Role
The Estimator / Project Manager is responsible for estimating, planning, and managing landscape construction and maintenance projects from bid preparation through project completion. This role ensures projects are delivered safely, on time, within budget, and to the highest quality standards while building strong client relationships and supporting the company's operational and financial goals.
Key Responsibilities
1. Estimating & Pre-Construction Responsibilities
Bid Management
· Review RFQs, RFPs, and tender documents
· Conduct scope analysis and identify project requirements
· Perform site visits and pre-bid inspections
· Assess environmental risks, access constraints, and site conditions
Cost Estimation
· Prepare detailed cost estimates (labor, materials, equipment, subcontractors)
· Develop unit pricing for recurring maintenance and environmental services
· Analyze historical cost data and market rates
· Build contingency and risk allowances
Vendor & Subcontractor Coordination
· Source and solicit quotes from suppliers and subcontractors
· Evaluate pricing, compliance, and capability
· Maintain vendor relationships and database
Proposal Preparation
· Compile bid packages, including pricing, scope, and schedules
· Prepare technical proposals (methodology, environmental compliance, safety plans)
· Ensure alignment with client specifications and regulatory requirements
· Submit bids within deadlines
2. Project Planning & Mobilization
· Develop project execution plans and timelines
· Define scope, deliverables, and milestones
· Allocate labor, equipment, and materials
· Coordinate project kick-off meetings (internal & client-facing)
· Secure permits, approvals, and environmental compliance documentation
· Set up job costing codes and budget tracking systems
3. Project Execution & Management
Operational Oversight
· Manage multiple construction and maintenance projects simultaneously
· Supervise site crews, foremen, and subcontractors
· Ensure adherence to scope, schedule, and budget
Scheduling & Resource Management
· Prepare and maintain project schedules
· Coordinate labor allocation across divisions (Environmental, Landscape construction & Landscape Maintenance)
· Adjust schedules based on weather, site conditions, or client changes
Client Communication
· Act as primary point of contact for clients
· Provide regular project updates and progress reports
· Manage client expectations and resolve concerns
4. Financial Management
· Monitor project budgets, costs, and profitability
· Track job costing and variance analysis
· Approve timesheets, invoices, and purchase orders
· Manage change orders and scope adjustments
· Ensure accurate billing and progress invoicing
5. Compliance & Safety
· Ensure compliance with environmental regulations and permits
· Enforce company safety policies and WorkSafeBC requirements
· Conduct site inspections and safety audits
· Review hazard assessments and mitigation plans
· Ensure proper documentation (SDS, environmental reports, waste disposal logs)
6. Quality Control & Reporting
· Conduct site inspections to ensure quality standards are met
· Ensure work meets contractual and regulatory requirements
· Prepare project reports (daily logs, progress reports, completion reports)
· Track KPIs (cost, schedule, safety, quality)
7. Change Management & Problem Solving
· Identify project risks and develop mitigation strategies
· Handle scope changes, delays, and unforeseen issues
· Negotiate change orders with clients and subcontractors
· Provide solutions for operational and environmental challenges
8. Continuous Improvement
· Improve estimating accuracy and cost control processes
· Develop standardized templates for bids and project management
· Stay updated on environmental regulations and industry best practices
· Identify opportunities for efficiency and cost savings
Required Skills
· Strong estimating, budgeting, and job costing abilities.
· Excellent project management, scheduling, and organizational skills.
· Ability to read drawings, specifications, and tender documents.
· Knowledge of environmental regulations, WorkSafeBC requirements, and industry best practices.
· Strong leadership, communication, negotiation, and client relationship management skills.
· Proficiency with Microsoft Office and business management software
