HUMAN RESOURCES ADMINISTRATOR
Choices for Youth (CFY) is a professional service, youth-focused, non-profit, charitable organization that creates spaces and conversations, and operates programs and social enterprises to help vulnerable youth secure stable housing, employment, and education while improving health and family stability. With a focus on prevention, intervention, and support, we help youth and their families break cycles of poverty and homelessness and transition to healthy, stable, and independent lives.
We are looking to hire one (1) Human Resources Administrator to join our Human Resources team. Reporting to the Human Resources Coordinator, the Human Resources Administrator will provide essential administrative support to the HR team and organization, ensuring employee information, HR systems, records, training requirements, and administrative processes are accurate, organized, and up to date.
This administrative-focused position plays an important role in keeping the day-to-day operations of the Human Resources department running efficiently. The Human Resources Administrator will support the HR team in these key areas:
1. HR Records & File Management
2. HRIS & Data Management
3. Training & Certification Administration
4. Occupational Health & Safety Administration
5. General HR Administration
The position will also provide administrative support for recruitment activities, primarily through interview scheduling and reference checks, as well as other administrative duties as required.
ROLES & RESPONSIBILITIES:
- Maintain accurate and confidential employee personnel files, both electronic and physical.
- Ensure employee records are complete, organized, current, and properly filed.
- Assist with regular audits of employee files to identify missing, outdated, or incomplete information.
- Ensure HR documentation is maintained in accordance with organizational policies and applicable requirements.
- Maintain confidentiality and exercise discretion when handling sensitive employee information.
- Complete routine data entry and updates related to employee changes, status changes, training, certifications, and other HR information.
- Monitor HRIS data to ensure information is accurate, complete, and up to date.
- Assist with data audits and reconciliation between HRIS, employee files, and other HR records.
- Coordinate the scheduling and administration of employee training and professional development activities.
- Maintain accurate records of employee training and certifications.
- Monitor certification and training expiry dates and proactively identify upcoming renewals.
- Maintain training calendars, records, documentation, and completion tracking
- Ensure required training records are accurately reflected in the HRIS and employee files.
- Provide administrative support for the organization's Occupational Health & Safety (OHS) programs and processes.
- Assist with coordinating required workplace safety training and certifications.
- Maintain OHS documentation and ensure records are organized and accessible.
- Assist with preparing employee files and ensuring required documentation is received and properly filed.
- Provide day-to-day administrative support to the Human Resources team.
- Support the HR team with special projects and other administrative tasks as required.
- Work collaboratively with the HR team and other departments to ensure HR administrative processes are completed efficiently and accurately.
QUALIFICATIONS AND EXPERIENCE
- Completion of post secondary degree or diploma in a business or other related field; a focus in Human Resources, Labour/Industrial Relations or Organizational Development is considered an asset.
- Previous experience in an HR administrative, office administration, or related role; experience working in Human Resources is considered an asset.
- Experience working with an HRIS or other database management system is considered an asset.
- Experience with employee records, data entry, document management, training coordination, or administrative tracking is considered an asset.
- Strong attention to detail and demonstrated ability to maintain accurate records and information.
- Excellent organizational and time management skills, with the ability to manage multiple deadlines and competing priorities.
- Strong written and verbal communication skills.
- Demonstrated ability to handle confidential and sensitive information with professionalism.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Non-for-Profit work Experience is considered an asset.
- A valid driver’s license and access to a reliable vehicle is required
- A satisfactory certificate of conduct and vulnerable sector check is required.
COMPENSATION
The salary for this position will be $45,600.00 - $50,400.00 annually. CFY offers a competitive compensation package, including: a health and dental program, employer-matched RRSP and four (4) weeks’ vacation to qualifying employees.
WORK HOURS
Regular hours of work for this position are Monday to Friday 8:30am-4:30pm (37.5 hours per week). Flexibility in work hours may be required to accommodate higher work volumes and organizational requirements. This is an in-person position.
