Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will manage daily administrative operations, provide exceptional customer service, and support various office functions. This role requires strong communication skills, proficiency in office software, and the ability to multitask efficiently in a fast-paced environment. Experience with medical or dental offices is a plus, along with familiarity with bookkeeping and data entry tasks. The Office Administrator plays a vital role in ensuring smooth office operations and maintaining a professional front desk presence.
Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing excellent customer service
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize software such as QuickBooks, Microsoft Office, and Google Workspace for bookkeeping, reports, and correspondence
- Maintain appointment schedules and coordinate meetings or appointments as needed
- Support administrative tasks such as typing correspondence, managing emails, and organizing files
- Assist with billing, invoicing, and basic bookkeeping activities
- Ensure the office environment is organized, clean, and welcoming for clients and staff
- Provide support for medical or dental office procedures if applicable, including patient check-in/out and insurance documentation
- Uphold professional phone etiquette when communicating with clients or vendors
Skills
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace applications
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with attention to detail for proofreading and filing tasks
- Previous clerical or administrative experience preferred; experience in medical or dental offices is a plus
- Exceptional customer service skills with friendly phone etiquette and professional demeanor
- Ability to manage multi-line phone systems effectively and handle multiple tasks simultaneously
- Strong typing skills with high accuracy; familiarity with bookkeeping or basic accounting is advantageous
- Ability to work independently as well as part of a team in a fast-paced environment
Pay: $20.00-$30.00 per hour
