About Us:
The Acadia Community Association (ACA) is a volunteer-led, nonprofit organization dedicated to building a connected, active, and welcoming neighbourhood in southeast Calgary. For decades, the ACA has supported community programs, recreation, events, and local initiatives that bring people together across all ages and stages of life.
At the heart of our work is the Acadia Recreation Complex - a multi-use community facility that hosts sports, programs, rentals, and events seven days a week. We are currently in an exciting period of growth and organizational renewal, focused on strengthening operations, improving systems, and building a supportive workplace culture.
Position Summary:
We are seeking a detailed oriented individual to take on the role of Booking Coordinator. Working in conjunction with the Curling Coordinator, this individual will be responsible for increasing revenue for the Acadia Recreation Complex through bookings primarily in the arena and courts. This role requires an individual comfortable working as part of a team and has a strong eye for detail.
Key responsibilities
- Completing the annual and individual contracts for the arena and courts.
- Maximize revenue from the area by maintaining optimal ice scheduling.
- Work with clients to develop scheduling and invoice for tournament bookings.
- Maintain relationships with and coordinate booking with our online partners.
- Issue contracts, invoices and monitor accounts receivables.
- Manage the relationships with our partner tenants, including lease agreements and invoicing.
- Completing the daily cash out from the snack bar, lounge and front desk. Maintaining and ensuring accurate cash floats.
- Basic office duties as required including answering phones, maintaining office supplies and sorting mail.
- Be on the front line for customer engagements including general information, concerns or complaints.
What You Bring
- Previous experience in a customer service or administrative role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Positive attitude and a commitment to delivering a great customer experience.
- Proficiency with Google Suite of Products.
- Ability to work well in a team-oriented environment.
- High school diploma or equivalent required.
- Valid driver's license and clean driving records.
