Job Overview
We are looking for a detail-oriented and organized Reception & Administration Professional in charge of secretarial duties, preparing and submitting invoices, preparing and managing certification documents and data entry. This role is essential in ensuring daily administration tasks are accurately organized and completed enabling our business to continue running smoothly and efficiently.
Key Responsibilities
Reception
- Answering all incoming calls, direct inquiries appropriately and taking messages when required.
- Accepting incoming mail and outgoing mail.
- Greeting customers and suppliers at the front reception area.
- Clerical duties such as filing, photocopying, and organizing documents
- Manage basic office supply needs (e.g. copy paper, stationary, etc.)
Business Administration Professional
- Preparing invoices and submitting to customers’ accounts payable department.
- Completing data entry to produce paperwork for parts inspection.
- Coordinating inspection results with customers and updating quotes and corresponding purchase orders.
- Data entry to produce test certificates on certified parts.
- Data entry for production staff’s daily time cards.
- Summarising bi-weekly payroll details to delegate to payroll staff.
- Producing monthly reports for hours worked by production staff for union representatives.
- Producing monthly reports for payable and receivables.
- Manage export documentation and tariff codes for international shipments.
Qualifications
- Diploma in Office Administration, Business Administration or Canadian Certified Administrative Professional (CCAP).
- Proven experience in office administration.
- Experience or education with payroll administration.
- Technical proficiency and ability to utilize legacy ERP program, word processing and email programs.
- Ability to manage multiple priorities efficiently in a busy office setting.
Job Type: Full-time
Pay: $60,000.00 per year
