We are currently seeking a Construction Project Administrative Assistant to join our team. Be part of our team and enjoy a dynamic environment that will enable you to grow with every project.

The incumbent will be a part of the project team and will be responsible to provide administrative support, coordinate procedures and ensure all documents related to the construction project are compliant. In collaboration with the project team, the incumbent will ensure to deliver quality work, on time.

RESPONSIBILITIES:
Coordinate the administrative functions of the construction department (sending emails, taking meeting minutes, issuing purchase orders, etc.)
Oversee change orders and requests for bids
Organize shop drawings
Create and organize construction documents
Manage and monitor project documents
Enter accounting data for billing purposes
Manage Project Manager’s calendar
Organize and coordinate meetings
Manage project close out documents
Replace the receptionist during lunch hour, breaks and absences (on a rotational basis).

QUALIFICATIONS:
Diploma in Administration, Secretarial, or similar discipline
Minimum of 3 years’ experience in similar position, construction industry experience an asset
Bilingual (French and English); advanced level of French required
Excellent knowledge of MS Office software
Strong teamwork abilities
Ability to work within tight deadlines
Dynamic, strong time management skills and ability to prioritize
Organized
