We are looking for a Senior Administrative Assistant to report to the Property Administration Manager. This position will provide support to the property management team in administrative capacity, supervision of reception and supervision of administrators in the absence of the Property Administration Manager. The duties include but not limited to:
General Duties:
- Staying familiar with the Residential Tenancies Branch policies and ensuring Property Management Team is compliant.
- Collaborate with the RTB to correct compliance issues.
- Follow AGI schedule, prepare AGI spreadsheets for accounting and data enter applied/approved rent amounts.
- Assist the General Manager in scorecard creation and annual scorecard updates.
- Gather and prepare analytics for Property Manager scorecard evaluations.
- Determine rents on new leases and annual increases based on legislation.
- Assist in special projects and assignments as needed.
- Assist in the preparation of reports, and spreadsheets as required, update project tracking sheets including the lease workflow, internet/hydro spreadsheets, RTB-AGI-OUT, master cheat sheet, etc.
- Assisting reception during peak times of the month as needed.
- Obtain and present quotes for regular scheduled maintenance.
- Request work orders, monitor schedule and track completion of regular scheduled maintenance.
- Prepare contracts for snow removal and lawn care.
Document Creation:
- Creating and formatting forms and templates.
- Creating building memos, letters to tenants, global emails and notice of entry.
- Creation, distribution and tracking of all lease documents including leases, lease renewals and required RTB documents.
- Creation of new procedures and policies.
Data Entry
- Entering Yardi memos.
- Ensuring accurate guest card data entry in Yardi.
- Processing lease execution and move-ins in Yardi.
- Updating tenant files and tenant ledgers in Yardi.
- Entering increases in Yardi, including unit rents and lease charges.
- Maintaining the fob and intercom systems.
- Assign and manage rentable items in Yardi.
Qualifications
Experience:
- Secondary education in administrative studies
- 2-5 years experience in an administrative role in Property Management environment is ideal.
- Experience in supervisory role is an asset.
Knowledge, skills, and abilities:
- Knowledge in Yardi system an asset.
- Intermediate level skills in MS office software, i.e., Word, Excel, Outlook, and Power Point
- High level of organization and attention to detail.
- Excellent written and verbal communication skills.
- Self-motivated, able to take responsibility, demonstrate initiative and a proactive approach to daily tasks.
- Excellent interpersonal skills.
- Punctual and reliable.
- Flexible attitude.
