Job Summary
We are seeking an Entry-Level Office Administrative Coordinator & Client Services Coordinator to join our team in a dynamic and fast-paced environment. This full-time or part-time role offers an excellent opportunity for individuals interested in developing their administrative and customer service skills. The ideal candidate will be detail-oriented, organized, and possess strong computer skills to support daily office operations, client interactions, and data management. Prior experience with office software and clerical tasks is preferred but not required, as training will be provided to the right candidate.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
- Provide exceptional customer service by assisting clients with inquiries, scheduling appointments, and supporting client needs
- Support bookkeeping activities such as invoicing, billing, and basic financial record keeping using QuickBooks
- Assist with administrative tasks including proofreading documents, managing calendars, and preparing correspondence
- Support office organization by coordinating supplies, managing mail distribution, and maintaining a clean workspace
- Perform clerical duties such as photocopying, scanning, and document filing to ensure smooth office operations
Requirements
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
- Experience with data entry, filing systems, and clerical tasks preferred
- Excellent customer service skills with professional phone etiquette for handling client interactions via multi-line phone systems
- Prior office experience is a plus; experience in medical or dental offices is advantageous but not mandatory
- Ability to type accurately and proofread documents effectively
- Strong organizational skills with attention to detail and accuracy
- Ability to work independently as well as part of a team in a professional setting
- Previous experience with QuickBooks or bookkeeping is desirable but not required

Pay: $45,000.00-$60,000.00 per year
