Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. This role is essential in maintaining smooth daily functions, managing correspondence, and providing exceptional customer service to clients and staff alike. Experience with accounting and corporate office operations is a plus, but not required. We do require English as your first or primary language for this particular position.
This is the perfect position for a "stay at home parent" with kids are just returning to school. We can work with the schedule during the summer break months with reduced hours or requirements.
Duties
- Manage front desk responsibilities, including greeting clients, initial client communication and answering client e-mails, texts and phone calls with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
- Provide customer support by addressing inquiries promptly and effectively via phone or email
- Assist with appointment scheduling, calendar management, and follow-up communications
- Support bookkeeping activities such as invoicing, billing, and record keeping for financial transactions
- Proofread correspondence, reports, and other documents to ensure accuracy and professionalism
- Handle administrative tasks related to medical or dental office operations if applicable, including patient record management and insurance documentation
- Support team members with clerical duties such as photocopying, faxing, and organizing supplies
Experience
- Previous administrative experience preferred, especially in office settings such as medical or dental offices
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience using QuickBooks for bookkeeping or financial management is a plus
- Strong computer skills including data entry, file management, and familiarity with multi-line phone systems
- Excellent organizational skills with the ability to prioritize tasks effectively
- Demonstrated customer service experience with professional phone etiquette and support skills
- Typing speed of at least 50 words per minute with proofreading capabilities to ensure error-free documents
- Prior clerical or administrative experience in a fast-paced environment is advantageous
